Salary Recovery from Grants Policy

Date Effective

July 1, 2024

Policy Owner: Associate Dean for Research and Discovery

Policy Contact: Kristin Artinger

POLICY STATEMENT

The Office of the Associate Dean for Research and Discovery (OADRD) has a goal to advance the research mission within the School. This requires that faculty maintain a research grant portfolio such that increases the recovery of indirect costs and salaries. The OADRD seeks to increase discretionary funding for short term strategic investment in research laboratory professionals, research development, and research-track faculty. To meet these expectations, research intensive tenured and tenure track faculty with 60% or more effort dedicated to research are required to cover a minimum of 25% of their salary from external sources.  The salary recovery threshold will be recalibrated every 2 years.

Expectations for salary recovery from each grant mechanism:

  • R01/U01: A minimum of 20% salary
  • R21: A minimum of 10%
  • Multiple PI and Co-I R01: 10-20%, Co-I R21 5-10%
  • DOD: 20%
  • NSF: if accepted, similar to R21 levels
  • Industry/Foundation/Association: minimum of 10% if funds salary support

Notes:

  1. If the grant supply and equipment budget is constrained making conduct of the project unreasonable, faculty requests to recover less than the amounts indicated must be approved by the OADRD before submission.
  2. Faculty cannot reduce their paid effort in subsequent years after the grant is awarded unless the budget is cut. If this occurs, any reduction in paid salary cannot exceed the percent by which the budget is reduced. Any changes must be approved by the OADRD office.

Notes on Research faculty: Traditionally, these faculty are funded up to 100% on grants held by other investigators. To enable these faculty to apply for their own research grants, their paid effort on grants must be reduced by 80 to 90%. Furthermore, if the supporting grant(s) held by another investigator is lost, a mechanism for support from the school is also recommended, providing a safety net for research-track faculty. To foster career development and stability for research-track faculty, the OADRD also recommends that a pathway to tenure track be created.
